The Laundry Room respects your privacy. This policy explains what personal information we collect, how we use it, who we share it with, how long we keep it, and your rights under Canadian privacy law (PIPEDA federally, and BC PIPA in British Columbia). Plain language. No tricks.

1. Who we are

The Laundry Room is operated by 1397006 BC Ltd., located at 2660 Pandosy Street, Kelowna, BC, V1Y 1V6, Canada. For privacy questions, our designated Privacy Officer is the General Manager — see section 13.

2. What personal information we collect

We collect only what we need to serve you well. Specifically:

  • Contact details: name, phone number, email address.
  • Service details: pickup & delivery address, garment notes, special instructions, business name (commercial customers).
  • Payment information: processed by our payment partner (Square). We do not store full card numbers on our servers.
  • Anything else you tell us in a form, by email, by phone, or in person.

We collect automatically

  • Usage data: pages visited, time on site, referrer, approximate location (city-level), browser and device type — only if you've consented to analytics cookies.
  • IP address & technical logs: needed for security and fraud prevention even without analytics consent.

By using our website, calling us, emailing us, or filling out a form, you consent to the collection and use of your personal information for the purposes above. For optional uses (analytics, marketing, newsletters), we ask for your express, affirmative consent — typically through the cookie banner, a checkbox, or a clear opt-in.

You can withdraw consent at any time, subject to legal or contractual restrictions. See your rights.

5. Who we share it with

We don't sell your personal information. Ever. We share only with service providers who help us run the business, and only with what they need:

6. How we protect your information

We use reasonable physical, technical, and administrative safeguards: TLS encryption for data in transit, access controls and strong authentication on our systems, staff training on confidentiality, and contracts that bind our service providers to similar standards. No system is 100% secure, but we treat your data as we'd want ours treated.

7. How long we keep it

  • Customer records: kept while you're an active customer, plus seven (7) years afterward to meet Canadian tax and accounting requirements.
  • Marketing list: kept until you unsubscribe.
  • Website analytics: aggregated data is kept up to 26 months in Google Analytics; identifying logs are purged on a rolling 90-day basis.
  • Inquiry forms with no follow-through: deleted after 24 months.

8. Your rights under PIPEDA & BC PIPA

You have the right to:

  • Know what personal information we have about you.
  • Access a copy of it.
  • Correct any inaccuracies.
  • Withdraw consent for any optional use (analytics, marketing).
  • Ask us to delete your information, where we're not legally required to keep it.
  • Make a complaint if you're not happy with how we've handled your data.

9. Cookies & similar tracking

A "cookie" is a small file your browser stores when you visit a website. We use:

  • Essential cookies — needed for the site to work (security, form submissions, your consent choice). Always on.
  • Analytics cookies — Google Analytics 4. Off by default; loaded only with your consent.
  • Marketing cookies — Google Ads conversion, Meta Pixel. Off by default; loaded only with your consent.

10. Cross-border data transfers

Some of our service providers (Square, GoHighLevel, Google, Meta) store data in the United States. By using our services you consent to your information being transferred outside Canada. While there, your data may be subject to lawful access by U.S. authorities. We use providers with industry-standard safeguards and contractual data-protection clauses.

11. Children

The Laundry Room's services are intended for adults (18+). We don't knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we'll delete it.

12. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent change. Material changes will be flagged on the website (and emailed to active customers). Continued use of the service after a change means you accept the updated policy.
