1. Who we are
The Laundry Room is operated by 1397006 BC Ltd., located at 2660 Pandosy Street, Kelowna, BC, V1Y 1V6, Canada. For privacy questions, our designated Privacy Officer is the General Manager — see section 14.
2. What personal information we collect
We collect only what we need to serve you well. Specifically:
You give us
- Contact details: name, phone number, email address.
- Service details: pickup & delivery address, garment notes, special instructions, business name (commercial customers).
- Payment information: processed by our payment partner (Square). We do not store full card numbers on our servers.
- SMS/text messaging consent: if you check the optional SMS consent box on one of our forms, we record that you have opted in to receive text messages, along with the phone number you provided and the date/time of consent.
- Anything else you tell us in a form, by email, by phone, or in person.
We collect automatically
- Usage data: pages visited, time on site, referrer, approximate location (city-level), browser and device type — only if you have consented to analytics cookies.
- IP address & technical logs: needed for security and fraud prevention even without analytics consent.
3. Why we collect it

4. How we get your consent
By using our website, calling us, emailing us, or filling out a form, you consent to the collection and use of your personal information for the purposes above. For optional uses (analytics, marketing, newsletters), we ask for your express, affirmative consent — typically through the cookie banner, a checkbox, or a clear opt-in.

5. SMS / text messaging
The Laundry Room offers an optional SMS (text message) program. Here is what you need to know:
What the program is. If you opt in, we may send you recurring promotional text messages about our laundry services, special offers, discounts, event promotions, and service announcements from The Laundry Room.
How you opt in. You opt in by voluntarily providing your mobile phone number on one of our website contact forms at laundryroomkelowna.com and checking the separate, optional SMS/marketing consent checkbox. The checkbox is not pre-checked and is not required to use our services or submit the form. Consent is not a condition of purchase.
Message frequency. Message frequency varies. You may receive up to 4 messages per month, but this can change depending on promotions and service updates.
Message and data rates. Standard message and data rates may apply, depending on your mobile carrier and plan.
How to opt out. You can opt out at any time by texting STOP to the number from which you received a message. You will receive a single confirmation message, and no further messages will be sent unless you re-subscribe.

No sharing. We do not sell, rent, lease, or share your opted-in phone number or SMS consent information with any third party or affiliate for marketing or promotional purposes. Your SMS opt-in data is used exclusively by The Laundry Room to send you the messages you consented to receive.
Carriers supported. The SMS program is supported by major Canadian and US carriers. Carriers are not liable for delayed or undelivered messages.
Privacy. Your personal information collected through the SMS program is handled in accordance with this Privacy Policy and applicable Canadian privacy law (PIPEDA and BC PIPA). See Your rights for how to access, correct, or delete your information.
6. Who we share it with
We don't sell your personal information. Ever. We share only with service providers who help us run the business, and only with what they need:

7. How we protect your information
We use reasonable physical, technical, and administrative safeguards: TLS encryption for data in transit, access controls and strong authentication on our systems, staff training on confidentiality, and contracts that bind our service providers to similar standards. No system is 100% secure, but we treat your data as we would want ours treated.
8. How long we keep it
- Customer records: kept while you are an active customer, plus seven (7) years afterward to meet Canadian tax and accounting requirements.
- Marketing list: kept until you unsubscribe.
- Website analytics: aggregated data is kept up to 26 months in Google Analytics; identifying logs are purged on a rolling 90-day basis.
- Inquiry forms with no follow-through: deleted after 24 months.
9. Your rights under PIPEDA & BC PIPA
You have the right to:
- Know what personal information we have about you.
- Access a copy of it.
- Correct any inaccuracies.
- Withdraw consent for any optional use (analytics, marketing, SMS).
- Ask us to delete your information, where we are not legally required to keep it.
- Make a complaint if you are not happy with how we have handled your data.
To exercise any of these, email [email protected]. We respond within 30 days.
You also have the right to escalate to:
- The Office of the Privacy Commissioner of Canada (federal — PIPEDA).
- The Office of the Information & Privacy Commissioner for BC (provincial — PIPA).
10. Cookies & similar tracking
A "cookie" is a small file your browser stores when you visit a website. We use:
- Essential cookies — needed for the site to work (security, form submissions, your consent choice). Always on.
- Analytics cookies — Google Analytics 4. Off by default; loaded only with your consent.
- Marketing cookies — Google Ads conversion, Meta Pixel. Off by default; loaded only with your consent.
Change your choice any time using the privacy icon in the bottom-left corner of any page.
11. Cross-border data transfers
Some of our service providers (Square, GoHighLevel, Google, Meta) store data in the United States. By using our services you consent to your information being transferred outside Canada. While there, your data may be subject to lawful access by U.S. authorities. We use providers with industry-standard safeguards and contractual data-protection clauses.
12. Children
The Laundry Room's services are intended for adults (18+). We do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top reflects the most recent change. Material changes will be flagged on the website (and emailed to active customers). Continued use of the service after a change means you accept the updated policy.
